Charging the Card on File When the Pest Control Tech Taps Complete
Recurring pest control has a billing rhythm that should be easy: the technician treats the house every quarter, and the customer pays every quarter. In practice, many small companies end up chasing checks, mailing invoices and calling customers about a $125 service from six weeks ago. Charging the card on file at completion makes the rhythm automatic.
Paid Before the Truck Leaves
Customer messages during the visit are covered in The Arrived Text: Letting the Customer Know the Pest Control Tech Is on the Property. This article is about what happens when the visit ends.
In PestBossPro, when the technician taps Complete, the invoice is created from the job. If the customer has a card on file and you charge at completion, the card can be charged right then. The technician does not handle the card, ask for payment at the door, or carry a card reader. The customer gets the invoice showing it was paid.
For a quarterly customer at $125 a visit, that means the money lands the same day as the service. No mailed invoice, no reminder, no phone call.
Why This Works So Well for Pest Control
Pest control is a natural fit for card-on-file billing:
- Customers are often not home. Exterior services happen while people are at work. Nobody is there to hand over a check.
- Services repeat. Quarterly, bi-monthly and monthly plans bill the same amount over and over.
- Prices are known. The plan price was agreed at sign-up, so there are no surprises.
- Small amounts add up. One unpaid $125 service is annoying. Forty of them is a cash-flow problem.
You can also choose to auto-charge on a schedule instead of at completion, if that fits your business better.
Getting Cards on File
Charging at completion only works if the card is there. The easiest time to get it is at sign-up:
- Online sign-up. Customers who sign up for services and pricing through your website forms or the customer app can add a card.
- Approved estimates. When a customer approves an estimate online, ask for a card as part of starting service.
- Existing customers. Customers can update or add their card in the customer app. A short text from the office with a reason, like “so you never get a paper bill again,” helps.
Be upfront at sign-up that the card will be charged after each service. Customers who know what to expect do not dispute charges.
What the Invoice Shows
The invoice created at completion has the line items from the job and sales tax where it applies. For a recurring service that is usually one line: “Quarterly general pest service.” If the technician added something on site, like a wasp nest removal or treating the shed, the office can add it as a line item priced from your service list so the invoice matches the work.
Customers can see invoices and pay in the customer app, so even customers without a card on file can pay online the same day. Invoicing from the job is covered next in Invoices Sent From the Job: Billing Pest Control Work Before the Truck Leaves.
Declines, Prepayments and Commercial Accounts
A few situations need different handling:
- Declined cards. Cards expire and get replaced. When a charge fails, past-due follow-up kicks in, and the customer can update their card in the customer app.
- Prepaid programs. A customer who prepaid a mosquito season or a year of quarterly service draws from the prepayment, not the card, as each visit is completed.
- Commercial monthly accounts. A restaurant group or property manager set to monthly billing gets one statement a month covering every location, instead of a charge at every stop.
- Package plans. Multi-visit programs can be set up as packages, with billing handled to match.
The technician does the same thing in every case: tap Complete. Billing follows the account's setup.
The Technician Stays Out of Money
One of the best things about charging at completion is what the technician does not have to do. They do not ask for payment, handle cards or carry cash. They do not have the awkward conversation about the overdue bill. They treat the house, record what was applied, take the photos, and tap Complete. Money is the office's job, and the office's job just got easier.
That also makes the technician's day faster. No waiting at the door for a customer to find their wallet, no writing receipts by hand.
Cash Flow on Autopilot
Card-on-file billing at completion is the simplest change a recurring pest control company can make to get paid faster. To see how payment fits with the rest of the technician's day, visit the PestBossPro pest control app page.
