Printing Pest Control Route Sheets for the Truck and the Office Wall
Plenty of pest control companies still like paper. The owner who wants tomorrow's routes on a clipboard. The tech who likes a sheet on the passenger seat. The office wall with the week laid out. Paper does not replace the tech app, but it still has a place.
From Saved View to Paper
The previous guide, Saved Views: Opening the Pest Control Schedule the Way You Actually Use It, covered keeping the views you use one click away. Printing route sheets is the natural next step: open the view, print it.
In PestBossPro, you can print route sheets from the dispatch board. Filter to the truck and day you want, and print.
When Paper Helps
- A backup for the truck. Phones die, signal drops in rural areas, and screens crack. A printed sheet in the truck means the tech still knows where to go.
- The morning meeting. Some owners like to hand each tech their sheet at the start of the day and talk through anything unusual.
- The office wall. A printed week on the wall gives everyone in the office the big picture at a glance.
- Planning on paper. Some people think better with a pen. Print tomorrow's routes, mark them up, then make the changes on the board.
- New techs. A new hire on a ride-along can follow the day on paper while learning the app.
When Paper Hurts
The problem with paper is that it does not change. The moment the office moves a stop, adds a call-back or reschedules a skip, the printed sheet is wrong. A tech who works from the sheet instead of the app:
- Misses jobs added during the day.
- Visits stops that were moved to another day.
- Does not send on-the-way and arrived texts, because those come from the app.
- Does not record what was applied in the app, so the chemical application record is missing.
- Freezes the customer app's count of where the customer is on the route.
That last group of problems is the real cost. The texts, the records and the customer's place in line all depend on techs working in the app.
Paper as Backup, App as the Real Thing
The best approach for most pest companies is simple: the tech app runs the day, and paper is the backup. Techs tap Start, Skip and Complete in the app, record what was applied, and take photos. The printed sheet stays in the truck in case the phone dies.
If a tech does have to work from paper for part of the day, they should catch up in the app as soon as they can, and the office should check for missing records. The “need a chemical record” button on the schedule shows completed treatments still missing their application record.
What to Watch on a Printed Sheet
Route sheets carry customer information. A few habits help:
- Treat them as private. Names and addresses on a sheet left on a dashboard can be read by anyone walking past, and a gate code someone wrote in the margin is worse.
- Throw them away at the end of the day. Yesterday's sheet is out of date and still has customer details on it.
- Print late. Print tomorrow's sheets at the end of today's planning, not at the start of the week, so they are as current as possible.
- Mark the date. A sheet without a clear date is easy to grab by mistake.
Printing for the Office
Some offices also print a sheet for a tech who is covering an unfamiliar route, so they can look over the whole day before they leave the shop.
For the office wall, print the week across all trucks on Monday and replace it mid-week if a lot has changed. It is a good conversation starter in a small office: everyone can see which day is heavy, which truck has room, and where rain might cause trouble.
Printing is one piece of the daily scheduling routine, which is covered in the next guide, The Daily Pest Control Scheduling Routine: A Short Habit That Sets Up Tomorrow.
Paper and the Move to Software
For companies moving off paper, route sheets can be a bridge. Print sheets from the dispatch board for the first few weeks while techs learn the app. As they get comfortable, the sheets become a backup and then mostly disappear. Moving off paper is covered later in this series.
