Pest Control Software for a Multi-Truck Company: Keeping Three to Five Techs on the Same Page

Going from one truck to three changes everything except the customer. The customer still expects the same service, the same notes remembered, the same treatment every quarter. What changes is that the knowledge that lived in the owner's head now has to live somewhere three or five techs can see it. That's what pest control software is for at this size.

From One Phone to Several Trucks

Pest Control Software for the Owner-Operator: Running a One-Truck Company From One Phone covered running everything from one phone. This guide is for the stage after that, when the office and the trucks become different people.

The system doesn't change. The same Waiting List, the same dispatch board, the same tech app. What changes is how you use it: routes split by truck, an office person takes over scheduling and billing, and consistency between techs becomes the main thing to protect.

Splitting Routes by Truck

On the Waiting List, due accounts show as pins. With several trucks, circle areas and assign them to different trucks and days. On the dispatch board, filter by truck to see each tech's day on its own, and auto-route each one Closest First or Furthest First from the shop.

Many multi-truck companies give each truck a home area or a type of work:

Saved views on the dispatch board make it quick to pull up each of those. Employees are assigned to trucks, and each tech signs into the tech app with their own PIN.

Notes That Survive a Tech Change

With one truck, it doesn't matter if the gate code is only in your head. With three, the tech who usually does a house will be sick, on vacation or gone someday. Every piece of property knowledge needs to be on the address: gate codes, dogs, where the bait stations are, “customer is sensitive to odor, exterior only.”

In PestBossPro, service and access notes show on the job card, and past notes from earlier visits are there too. A tech who has never been to a house sees what the last tech saw. Make writing good notes part of how techs complete a job.

Consistent Records Across Techs

The application record carries each tech's name and license number, pulled from who is signed in. With several techs, the mixes and products you set up become even more important. Everyone loads the same perimeter mix at the same rates, and everyone records it the same way.

Check the “need a chemical record” button daily. If one tech keeps leaving records incomplete, you'll see it right away instead of at the end of the season. Chemical reports pull records for any date range, across all trucks.

Call-Ins and GPS

A wasp call comes in at 10am. With one truck, it goes on your list. With three, the question is who is closest. Tech GPS shows on the office map, so the office can see which truck is near the address, add the stop to that tech's route, and the tech's phone updates with the new stop in order.

The customer gets their alerts like any other stop, and the job is recorded and billed the same way. The tech doesn't have to take a phone call to learn about it.

The Office Takes Over the Money

At this size, someone other than the owner often handles billing. Office user roles let you give that person access to invoices, payments, statements and past-due follow-up without handing them every setting. Techs don't touch billing; card-on-file charges happen at completion, and commercial accounts set to Monthly get one statement covering every location. Roles are covered in User Roles in Pest Control Software: Who in the Office Sees What.

Time Clock and Hours

With employees, hours matter. The tech app has a time clock built in, so techs clock in and out on the same phone they run the route on. Hours are recorded as they happen, which makes payroll a matter of reviewing, not reconstructing.

Which Plan Fits

Three- to five-truck companies usually look at Pro at $89 a month or Crew at $199, depending on how much the company texts customers and what else it needs. Compare the plans side by side on the pricing page before you pick. Pro includes 1,000 text segments a month and Crew includes 2,000, sent and received. Every plan starts with a 14-day free trial, no credit card.

The goal at this size is that any tech can run any route and the customer can't tell the difference. For how the pieces fit together, see the PestBossPro pest control software page.
