The Pest Plan Sign-Up Form: Getting the Card Captured Before You Leave
A yes in the driveway is only half a sale. The other half is getting the customer's details and card into the system before anyone forgets. Plan customers who sign up without a card turn into four invoices a year that somebody has to chase. Plan customers who sign up with a card turn into quiet, steady revenue.
Where the Form Fits
The conversation that leads to the yes is covered in Selling the Quarterly Pest Plan at the End of the First Visit. The sign-up form is how that yes becomes a plan customer.
In PestBossPro, sign-up forms let a customer pick a service, enter their details and add their card. The same form can sit on your website for new customers who find you online and be opened on a phone in the driveway for customers who just said yes to the technician.
What the Form Collects
Keep the form short. Every extra field is a reason to stop halfway. The essentials are:
- Name, phone and email. Phone for texts, email for invoices and post-treatment instructions.
- Service address. Where the work happens, which may be different from where the bill goes.
- The plan. Quarterly general pest, a mosquito program, a rodent program, whatever you set up in your service list with its price.
- The card. Captured on the form, so it is on file from the first visit.
Gate codes, dogs and other access details can be noted by the technician on the first visit and added to the address, so they show on the phone every visit after that.
From Form Response to Client
Completed sign-ups land in Form Responses in the office. From there, one click converts a sign-up into a client. The client record is created with the address, contact details and card on file, and the plan goes on the address.
That one click removes the step where most sign-ups used to get lost: somebody copying details from a paper form or an email into the system. Nothing is retyped, so nothing is mistyped.
Once the plan is on the address, the schedule handles itself. A quarterly plan comes due 90 days after the last completed visit and appears on the Waiting List when it does.
In the Driveway
For the technician, the practical question is whose phone to use. Two options work well:
- The customer's phone. Text them the sign-up link. They fill it out and add their card on their own device, which many customers prefer.
- The technician's phone. Open the form and hand it over. Faster for customers who are not comfortable with links.
If the customer wants a spouse or partner to agree first, that is fine. Text the link anyway so it is sitting on their phone that evening, and tag the client so the office knows to check whether it came back. A link already in hand gets filled out far more often than a promise to call.
When the customer has said yes, though, the technician should not leave until the form is submitted. “I'll fill it out later” usually means never.
On Your Website
The same sign-up form works on your website for customers who want to start a plan without a phone call. Customers who find you online can pick a plan, see the price, add their card and submit. The office converts the sign-up into a client and schedules the initial service.
Website request forms work alongside it for people who want a quote first. Those requests also land in Form Responses, and the office can build an estimate priced off the property measurements and send it for online approval. Estimates are useful for larger homes or programs where the price depends on what you find.
Why the Card Matters So Much
With a card on file, PestBossPro creates the invoice when the technician completes each visit and can charge the card automatically. Nobody sends a bill, nobody waits for a check, nobody calls about a balance. If a card fails, past-due follow-up goes out, and the customer can update their card in the customer app.
Without a card, every visit becomes an invoice the customer has to remember to pay. Some will. Some will pay late. Some will let a few pile up and then cancel because the balance looks big. The card is not just about convenience; it is about keeping the plan alive. Auto-charge is covered in Auto-Charging After Every Recurring Pest Service.
Making It a Habit
Make the sign-up form the only way plans are started, whether the customer signs in the driveway, on your website or over the phone with the office filling it in. One path in means one set of data, and every plan customer starts life with a card on file. For how the sign-up flows into routing, billing and renewals, see the recurring pest control software overview.
