PestBossPro Blog — Quarterly Plans & Recurring Service

Reminder Texts and Emails for Recurring Pest Customers

A quarterly customer hears from you four times a year. If those four times are just charges on a card statement, the plan starts to feel invisible, and invisible plans get cancelled. Reminders do two jobs at once: they make service day go smoother, and they remind the customer that someone is looking after their home.

Reminders and Billing Go Together

Charging after every visit is covered in Auto-Charging After Every Recurring Pest Service. A charge the customer expected is a non-event. A charge they did not see coming is a phone call. Reminders are what make the difference.

The Alerts Customers Can Choose

In PestBossPro, customers choose which alerts they want. The three main ones are:

The on-the-way and arrived texts go out automatically from the tech app as the technician works the route. Nobody in the office has to send them. Customers who prefer fewer messages can turn alerts off.

Which Alerts Fit Which Plans

Not every customer needs every alert. A rough guide:

Writing Reminders Customers Read

Short beats clever. A good night-before text names the company, the service and the day, and tells the customer what to do: “Hi from your pest team: your quarterly service is tomorrow. Please leave the side gate open and keep pets inside. Reply here if tomorrow doesn't work.” Skip the exclamation points and the long sign-offs. The customer should be able to read it at a glance, and the reply line turns a missed stop into a rescheduled one.

The Live Route in the Customer App

Customers who use the customer app can see today's route on service day: “You're stop 12 of 20 — the tech is 5 stops away.” That answers the most common service-day question before anyone calls the office. It is especially useful for interior services and for customers who want to be home when the technician arrives.

Emails That Matter

Texts are best for timing. Emails are best for detail. Recurring customers get a few emails that do real work:

Two-Way Texting

Reminders invite replies. “Can you come Thursday instead?” “Gate code changed, it's 4410 now.” “Seeing ants in the kitchen again.” With two-way texting, those replies reach the office instead of disappearing. The office can answer, update the access notes on the address, or schedule a re-service.

That two-way line is one of the best tools for keeping plan customers. Customers who can reach you with a quick text are less likely to quietly look for another company.

The Text Allowance

Plans include a monthly text allowance: 500 segments on Start, 1,000 on Pro and 2,000 on Crew, counting texts sent and received. For a company with a few hundred quarterly customers, alerts and replies usually spread across the quarter, because accounts come due a few at a time instead of all at once. Keep messages short, since long texts use more than one segment.

Texting is available for customers in the US and Canada.

Between Visits

Reminders do not have to stop at service day. A short text a few weeks before mosquito season, a note about fall rodent activity or a check-in after a heavy cleanout keeps the relationship going between visits. Keep these occasional and useful. A customer who gets a helpful note twice a year feels looked after. A customer who gets a sales pitch every week turns off alerts.

Small Messages, Big Difference

Plenty of cancellations come from customers who stopped feeling the value of the plan. Reminders keep it visible without anyone in the office lifting a finger. For how reminders fit with routing, billing and renewals, see the recurring pest control software overview.
